General Guidlines

1. The Club shall be known as Beechwood Digital Camera Club.

2. The Clubs Committee will be made up of :- Chairman, Vice Chairman, General Secretary, Competition Secretary, Syllabus Secretary & Treasurer.

3. All Committee Members will be nominated and appointed at an Annual General Meeting to be held at the end of each calendar year.

4. The affairs of the club will be managed by the Elected Committee Members.

5. Subscription Fees will be set at the Annual General Meeting and will be collected by the treasurer.

6. Only paid up members will be eligible to enter any Club Competitions, both internal & external. And be eligible to vote on and be nominated for committee membership.

7. At the end of each calendar year the Treasurer will draw up a balance sheet to be presented at the Annual General meeting.

8. Special Committee Meetings may be called at any time throughout the year with fourteen days notice to discuss any arising issues.

9. The Club shall accept no responsibility for any damage or loss of members personal belongings whilst at the clubs venue.

10. In the event of a dissolution a Special General Meeting will be called and a decision made as to the disposal of all club assets.

Competition Guidelines

1. All photographic and mounting work for each competition entry must be entirely the entrants own work (assistance may be given to less experienced members with presentation & mounting).

2. There are two sections in all of the competitions ’Improvers’ & ’Advanced’. Improver entries must be clearly marked with the initials ’IMP’ on the reverse of the entry, or at the beginning of the file name if a Digital Image.

3. Improvers will only be expected to remain so for a period of Two years, after which time they will automatically progress into the Advanced Section. The overall winner of the Improvers section for each year will automatically progress into the Advanced section for the next year. Members may be placed straight into the advanced section upon a viewing of a panel of Six Prints or Digitally Projected Images (subject to equipment availability) and a mutual agreement reached by the committee members.

4. An image may be submitted into no more than Three competitions throughout one year including both Monthly and End Of Year competitions, and entered for no more than Two consecutive years.

5. Prints must be mounted on mount board no larger than 20 x 16 inch and no smaller than 16 x 12 inch. With the actual print size being no smaller than 10 inches along one edge and a maximum size of 16 x 12 inch (letter box format is allowed as long as it fits the criteria).

6. Due to constantly changing thresholds and advances in technology Digitally Projected Images are to be sized and submitted as instructed by the Competition Secretary.

7. Points will be awarded 12, 8, 4 for 1st, 2nd, 3rd places in the monthly competitions and all members who enter each competition will also be awarded one point for entry.

8. Entries are to be handed to the Competition Secretary Fourteen days before the Competition or sooner if requested.

9. There will be ‘Monthly’ Competitions held where the points gained from each will count towards a ‘Merit Table‘, at the end of each year the winner of the merit table will be awarded the title of ‘Photographer of The Year’ and presented with a prize.

10. There will be two ‘End of Year’ Competitions held, one being called ‘Print Panel of the Year’ and the other ‘Digitally Projected Image Panel of the Year’. The winners of which will be awarded the titles ‘Print Panel Photographer of the Year’ and ‘Digital Panel Photographer of the Year’ and will be presented with prizes.

The panels are to consist of Five prints or digitally projected images.

(the ‘Digitally Projected Image Panel of the Year’ competition will only be held if the required equipment is available)

11. The prizes awarded to the winners of the Advanced section will be of greater value than the prizes awarded to the winners of the Improvers section.

The prizes received for winning each respective competition will be chosen by the committee and will vary depending on the current financial situation of the club.

Due to the need for consistent performance, A greater prize will always be awarded to the winner of the ‘Merit Table‘, with equal prizes being awarded to ‘Print Panel Photographer of the Year’ and ‘Digital Panel Photographer of the Year‘.

12. In the event of one of the above rules being excessively contravened the entry may receive comments but will not be eligible to receive points.
